How Do I Enter Benefits When Eligibility is After New Hire Start Date? Article

The system is designed to budget for benefits that start after the new employee's hire date.  In our example, John Smith will begin work on January 1 and per policy his health benefits will start three months later on April 1 while his parking benefit will start two months after his start date, March 1.


1) The Hourly or Eligiblity Calendar needs to be completed.  Please see  What Do I Do When I Cannot Get the Payroll Assignment's Eligible Date Field to Work?


2) When setting up the Payroll Expense Definitions for the benefit for which the employee is eligible after their start date select from the drop-down menu select the appropriate  "Eligible Date Field".  There are two options.  Therefore different benefits can start on one or the other eligible date.  In the example, the "Medical" will start on "EligibleDate1" and the "Parking" on "EligibleDate2".

3) Please "Save" your work.

4) On the Payroll Assignments select the "EmployeeID" for whom you wish to enter the delayed benefit eligibility. 


5) Enter the date for "Eligible Start Date 1".  Please note the date is unique to the selected "EmployeeID".   In the example, the start date for "Medical " is 4/1/2017.  Please "Save" your work.


6) Enter the date for "Eligible Start Date 2".  Please note the date is unique to the selected "EmployeeID".   In the example, the start date for "Parking" is 3/1/2017. Please "Save" your work.


7) To review the budget for this Employee, click on the "Magnifying Glass" and the below "Payroll Projection Preview"  screen will appear.  Please note that the budget for Medical benefits starts in April and the Parking benefits started in March.
